Technology has changed from traditional emails and phone calls which has allowed organizations to take advantage of different technology communication tools. When sending a message to a receiver in any form of communication, some techniques can be implemented that will improve the likelihood of the message being understood by the receiver.

When it comes to communicating through technology mediums such as Zoom or Skype, the sender must treat any meeting as if they were in person. The sender can show up on time and practice going through the presentation or notes to ensure they are confident in what they are saying. ā€œOne key to the successful transmission of messages and quality interactions with other individuals or groups is preparationā€ (Baack, 2021, p. 3.2). It is also important for the sender to make sure that they look professional as if they were in an interview and that the camera is on with a clear background. The presenter also needs to keep eye contact with that individual or group while addressing the person that may be speaking. When it comes to text messages and emails, the sender can double-check their work for grammar, spelling, and having a respectful tone. This is going to allow the message to be understood as intended if these techniques are implemented.

Choosing the proper communication channel is also going to help with the receiver understanding the message and there are a few options when it comes to checking which one would better fit the message. The sender must determine if the message is informal or formal and if it is urgent which can result in a meeting via Zoom instead of email. ā€œInformal communication channels are one’s employees use to pass along messages that are less or not at all in the organization’s interestsā€ (Baack, 2021, p. 3.3). A second check for selecting the proper communication channel is to choose a channel based on the audience and the values of the organization itself. If people prefer to receive communication, face to face, then it would be best to choose a Zoom communication channel to match the company values. On the other hand, there may be instances where communication is sent out overnight in which a direct message probably would not be the best fit.

Choosing the proper communication channel can help increase the effectiveness of addressing diverse audiences by choosing an option that will fit everyone’s needs. There may be people who cannot hear so an email would be best, while people who like to ask questions and have direct contact would benefit from Skype or Zoom channels. ā€œDiversity management focuses on the planning and implementation of business systems and practices to administer the workforce to the fullest to obtain maximum potential advantages of diversityā€ (Omoyele, & Olabisi, 2020, p. 31). Choosing the wrong type of communication channel can reduce the effectiveness as some people may feel left out or the message can turn into something else such as a rumor if not intended the way it should be.
